Who you are dealing with
RSVP Events is operated by LuxVibeWeb Limited. Using the service means you accept these terms. If you do not, please do not use it.
What the service is
A way to publish an invitation at a web address, share that address, and collect replies in one list. It is free, no account is needed to organise an event, and no account is ever needed to reply to one. Each event takes up to 300 confirmed guests.
What it is not
Worth being blunt about, because these are the assumptions that cause trouble:
- Not a ticketing or payment system. It takes no money and handles no card details.
- Not a backup service. Export your guest list if you need a copy. Deletion is immediate and permanent. We cannot undo it.
- Not a guaranteed messaging channel. Email is best-effort. It is not a substitute for actually telling people things.
- Not a security product. An invitation password keeps an event off the open web; it is not a vault.
- Not an allergy or dietary safety system. It passes on what guests type. It does not check it, and nor do we.
- Not an event management or catering service. We have nothing to do with your event itself.
- Not a CRM or mailing list. It is not for marketing to people.
Your responsibilities
Most of what the service holds is information about people who never visited the site. That puts real obligations on you.
- Only invite people who would expect to hear from you. When you paste in a list of names and email addresses, you are asserting you have a proper reason to hold and use them.
- Guest details are theirs, not yours to reuse. Do not sell them, publish them, add them to a mailing list, or use them for anything other than the event you collected them for.
- Treat allergy and dietary answers as confidential health information. Pass them to your caterer if that is why you asked, and no further. If you export the guest list, that spreadsheet is your responsibility.
- Only ask what you need. You choose the questions. Asking for children's ages or phone numbers you will not use is not something we can fix for you.
- Your dashboard link is the key to your event. Anyone holding it can read your guest list and change or delete your event. Do not post it publicly or in a group chat. If you do, that is not a fault in the service.
- If you turn on the “who's coming” list, you are choosing to show guests' first names to everyone with the invitation link. That is your decision to make and to justify.
- You must be at least 16 to organise an event.
Using it for a business or organisation
You may. If you do, you are the data controller for your guests' details and we act as your processor. The following applies, and is intended to satisfy Article 28 of the UK GDPR:
- We process guest details only to run the service and only as your use of it instructs.
- We use the sub-processors listed in the privacy notice (Base44, Resend, Microsoft). Using the service is your authorisation for those. We will tell you before adding another.
- We keep the security measures described in the privacy notice, honestly stated, including their limits.
- We will help you answer a guest's data request, and tell you without undue delay if we become aware of a breach affecting your guests.
- You can export your guest list at any time, and deleting your event deletes every reply to it.
- Anyone with access to guest details on our side is bound to confidentiality.
If your organisation needs a signed data processing agreement, a record of processing, or answers to a security questionnaire, email gareth@luxvibeweb.co.uk. For a free service we cannot promise to complete every vendor assessment, and it is fair to say so before you rely on us.
Acceptable use
Do not use the service to:
- send unsolicited bulk email, or anything a reasonable person would call spam;
- harass, deceive, impersonate or intimidate anybody;
- publish anything unlawful, defamatory, or that infringes someone's rights;
- collect personal details under a false pretext;
- attack, probe or overload the service, or try to reach an event you were not given a link to;
- get round the guest limit or the rate limits by creating events in bulk.
We may remove an event that breaks these rules, and will say why where we can.
Your content
What you write and upload stays yours. You give us only the narrow permission we need to run the service: to store your content, show it to the people you share the link with, put your cover image into the link preview that appears when the invitation is pasted into a chat, and include event details in the emails the service sends on your behalf. Nothing more. We will not use your event or your photos to advertise the service.
Only upload an image you have the right to use. If you use the AI cover generator, the result is yours to use for your event.
Availability
The service is free and we make no promise about uptime. It may be unavailable, slow, or interrupted for maintenance, and features may change or be withdrawn. If you are organising something you cannot afford to get wrong, keep your own copy of the guest list. The export button exists for exactly that.
Ending it
Delete your event from its dashboard whenever you like and it is gone, along with its replies. Ask us and we will close an account. We may suspend or remove an event that breaks these terms, or stop offering the service altogether. If we ever shut it down we will give what notice we reasonably can so you can export your lists.
Liability
What we never exclude
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited. If you are a consumer, you keep all your statutory rights and nothing here takes them away.
Beyond that, and to the fullest extent the law allows, our total liability to you for everything connected with the service is limited to £100.
Why that figure: the service is free, so there is no price to measure a loss against. A cap of nothing would be unfair and a court could strike it out entirely, leaving us with less protection than this. £100 is a real sum, comfortably above any direct loss a free invitation page could plausibly cause, and proportionate to what the service is.
We are not liable for the following, which are the things that actually go wrong here:
- What guests type. We pass on replies without checking them. Names, numbers and dietary answers are unverified. Confirm allergies directly with the person before you feed them. Do not treat a line in a spreadsheet as medical information.
- Email that does not arrive. Confirmations, reminders, dashboard links and your messages to guests can be delayed, filtered as spam, bounced or lost. Delivery is not guaranteed and email should not be your only way of telling people something important.
- A headcount that turns out wrong. Guests change their minds, reply twice, bring people they did not mention, or never reply at all. The number on your dashboard is a record of what people said, not a promise of who will walk through the door.
- AI-generated cover images. They are produced automatically and nobody checks them. They may be odd, unsuitable or not what you meant. You decide whether to publish one.
- Losing data you did not export. Deletion is permanent, and we hold no backup we can restore for you.
- A shared or leaked access link. Anyone with a dashboard link can manage that event; anyone with a guest's reply link can change that reply. If a link is forwarded, screenshotted or posted publicly, we cannot undo what follows.
- An invitation password being worked out. It stops an event being stumbled upon. It is not a security control and is stored as ordinary text.
- Replies being turned away at the limit. Once an event reaches its guest limit, further “yes” replies are blocked. Watch the number as it fills.
- Your event itself. The venue, the food, the catering, who turns up, what they do and anything that happens there is between you and your guests. We publish a page and count replies.
- What an organiser does with guest details. If an organiser exports a list and misuses it, that is their responsibility as controller, not ours.
Subject to the callout above, we are not liable for indirect or consequential loss, lost profit, lost business, wasted expenditure or lost goodwill. If you are a consumer, we are not liable for loss connected with using the service for business purposes.
Odds and ends
- These terms are governed by the law of England and Wales, and its courts have jurisdiction. If you are a consumer living elsewhere in the UK, you may bring proceedings in your own part of it.
- We may change these terms. The date at the top changes when we do, and continuing to use the service means accepting the new version.
- If any part of these terms turns out to be unenforceable, the rest continues to apply.
- These terms are between you and us. Nobody else can enforce them.
How we handle personal details is in the privacy notice, and what is stored on your device is in cookies & storage.
